The messages that actually get replies

Onboarding email fails in predictable ways. It asks for too much at once, it does not say why, and it gives the vendor no idea how long it will take. These are written to avoid all three.

Effective vendor onboarding emails share four characteristics: a single clear action, a stated reason, an honest estimate of effort, and a named person to reply to. The templates below cover the invitation, two reminders, a document request, a screening query, the approval and a renewal request, and each can be adapted to your own tone.

What makes onboarding email work

Four things, in every message

These apply regardless of tone, sector or how formal your organisation is.

Reminders

Two, and then a person

Automated reminders work until they do not. After the second one, a human is more effective than a third automated message.

Second reminderSubject: Your supplier setup is on hold. Body: We cannot raise orders or process payment until this is complete. If something in the form is unclear or you are missing a document, reply and tell me which part and I will help.
After thatStop sending automated reminders and have somebody call or email personally. A third automated message reads as a system rather than a request.
The other four

Document request, screening query, approval, renewal

Screening querySubject: Quick question about [vendor name]. Body: Our screening returned a possible match against a public list. In our experience this is usually a name similarity rather than a match. To rule it out, could you confirm [state of registration, formation year, registered officers]?
ApprovalSubject: You are set up as a supplier for [your company]. Body: Onboarding is complete and you are approved as a supplier from today. [Any next step such as a PO or a contact name.] Your details are valid until [date], and we will contact you before then if anything needs renewing.
RenewalSubject: [Document] expires on [date]. Body: Your [document] on file expires on [date]. We need a current copy to keep you active. You can upload it here: [link]. Nothing else needs updating.
What to avoid

Four phrasings that reduce replies

About onboarding email

What should a vendor onboarding invitation email include?
One clear action with a link, a stated reason, an honest estimate of how long it takes and what documents are needed, and a named person to reply to.
How many reminders should we send?
Two automated ones, then a personal message from a named person. A third automated reminder reads as a system rather than a request and rarely produces a reply.
Why do vendors ignore onboarding emails?
Usually because the message asks for several things at once, does not explain why, gives no sense of effort required, or comes from a shared mailbox nobody expects a reply from.
Should we attach the form to the email?
No. A link the vendor can open, save and return to works considerably better than an attachment they have to download, complete and send back.
What should a renewal email say?
That one specific document is expiring, on what date, with a link to upload it and an explicit statement that nothing else needs updating.
How should we word a screening query?
Neutrally, saying that a possible match was returned and that in your experience these are usually name similarities, then asking for the specific details that would rule it out.
Should these be automated?
The invitation and reminders benefit from automation. The screening query and anything unusual are better sent by a person, because they need a reply rather than an action.
